Frequently Asked Questions
Everything you need to know about how Cognenta works, integrates, and keeps your data safe.
Workflow & Routing
Speed gets you in the inbox. It doesn't get you a reply. A rep working a full pipeline can hit "send" quickly, but they can't read every word of every form submission, map it against six different signals, and write something genuinely specific to that one person — every single time, at 11pm on a Saturday. Cognenta doesn't replace your team's speed, it gives every single lead the kind of personalized attention your best rep would give if they had unlimited time. Your team still reviews and sends, or lets it run once they trust it; they just stop having to write the message from scratch every time.
The moment a prospect submits your form, Cognenta reads their answers and builds a follow-up around what they actually said — not a template with their name swapped in. It maps their situation, goal, and likely objections, then drafts a message in the channel you choose. You review and send, or let it run automatically once you trust the output.
Drafts land directly in your CRM, ready for one click to review and send.
You edit it before it goes out — the same as you'd edit a draft from a teammate. Over time, the more your team edits and approves, the closer Cognenta's drafts get to exactly your voice.
Most teams see the first AI-personalized follow-up going out within days of connecting their form or CRM. Booked-call improvements typically show up within the first few weeks, since that's enough time to see a real sample of new leads move through.
In review mode, nothing goes out until your team approves it — so mistakes get caught before they reach a prospect. In autonomous mode, Cognenta is built to stay within the facts your prospect actually gave you, not invent details, and most clients run on review until they've seen enough output to trust the autonomous mode for their use case.
Most follow-up tools automate when a message sends. Cognenta automates what the message actually says. Sequencing tools are built for scheduling and reminders — they still rely on a human writing the template or a person filling in the details. Cognenta reads each prospect's actual answers and writes something specific to them, every time, without a person drafting it from scratch.
Yes. You're not locked into a specific configuration. You can switch between review and autonomous mode, change channels, or pause the system at any point.
A call still matters, it's just not enough on its own anymore. Pick-up rates on unknown numbers keep falling, so a call that doesn't get answered does nothing, and a voicemail alone rarely gets a call back. That's why calls and follow-up messages need to work together, not compete: the call is for when someone picks up, the email and voice note are for everyone who doesn't, which today is most people. It matters even more if your business is founder-led. Prospects who came in through your brand often want to hear from you specifically, not a rep, but you can't personally call every lead. Cognenta builds a voice profile from your own examples, so the email, voice note, or text that lands when the phone doesn't get picked up still sounds like you, not a generic team inbox. That's not a replacement for your sales process, it's what happens around it, so no lead only gets one shot at a reply.
Operations & Voice Setup
Cognenta builds a profile from real examples — past emails, call transcripts, or recordings your team shares — learning how your best rep actually talks: their tone, their phrasing, what they emphasize. You can review and adjust it before anything goes live.
You can add a new voice profile any time, or simply run new reps off your top performer's profile until they've built their own track record.
Every message is built from real context about that specific prospect, in your voice and tone, reviewed by your team before it's treated as ready to send. We recommend checking applicable disclosure requirements in your jurisdiction and industry — since these vary — and can help you configure Cognenta to meet them.
Security & Deliverability
No. Messages send from your own outbox, number, or ESP — not a separate bulk-sending domain. You stay in control of your own sending reputation.
Each client's channel credentials are encrypted at rest and kept apart from other clients' by row-level security. You choose how long lead data is kept when you onboard, and a nightly job erases leads once they pass that period (or never, if you choose that). When your CRM sends an erasure request, Cognenta deletes that lead's record, messages, transcripts and stored files. Erased data can remain in encrypted backups until they age out.
Cognenta sends to leads who've already engaged with you — such as by submitting a form — not cold contacts, and respects your existing opt-out and consent settings configured in your CRM or ESP. Specific compliance requirements vary by region and industry, so we recommend confirming your setup with your legal team; Cognenta can be configured to support what that requires.
